Why document expiry dates deserve their own process

A foreign worker in Ukraine typically holds several legalization documents at once — a work permit, a Temporary Residence Card (TRC), sometimes additional permits — and each has its own validity period, which rarely lines up with the others. If even one of them lapses without renewal, the worker formally loses the right to stay or to work in the country, with risk for both the worker and the employer.

That's why renewal works best as an ongoing, scheduled process rather than something handled "as it comes up," once a deadline is already close.

What we renew

Most often this covers two documents: the work permit (see Work Permit) and the Temporary Residence Card (see Temporary Residence Card (TRC)). We also support re-issuance when a worker changes role or employer, or when other circumstances call for a fresh application rather than a straightforward renewal.

How the renewal process works

We record the expiry date of every document a worker holds and build a preparation schedule around it — accounting for the time needed to gather documents and file, plus the standard review timelines set by law. The renewal package is prepared well ahead of the critical date, to avoid any gap in lawful status.

What to do if a document has already expired

If a document has already lapsed, don't delay in reaching out — the sooner we know about the situation, the more options there are to resolve it. What can be done depends on the specific circumstances — the type of document, how long it's been expired, and the reason for the delay — so we always work through this case by case. Contact us as soon as possible.

Who's responsible for renewal — the worker or the employer

Responsibility is split between both sides and depends on the document type: the work permit renewal is generally filed by the employer, while the TRC is renewed by the foreigner personally at the migration service. We coordinate both sides of the process and keep the employer informed on the status of every document, so they have a clear picture across their whole foreign workforce.

Why it pays to run this on an ongoing basis

Companies employing several foreign workers, especially seasonally, run into the problem of expiry dates for different people falling on different points in the calendar. Systematic monitoring takes that burden off the employer's HR team and reduces the risk of disruption from any one employee's lawful status lapsing.
